We were so honored when Maya’s family returned to us after we planned their son’s Bar Mitzvah a few years ago. They partnered with us for full-service planning. Because of our familiarity with them, we were able to dive right into the planning process, which was fortunate considering we were planning this event with an abbreviated timeline of only six weeks.
The family envisioned something colorful, celebratory, and transportive for their daughter while still feeling elevated and intentional. Tropical florals, bold color, layered textures, lighting, and playful guest-facing details guided the overall direction of the event.
We planned the Bat Mitzvah at a Jewish Community Center local to Maya and her family. Our challenge wasn’t simply decorating the venue. It was creating an experience that allowed guests to momentarily forget they were inside a community center while still honoring why the space mattered to Maya’s family in the first place.




Overcoming Logistical Challenges With a Condensed Timeline
Here at Swoon Soiree, we maintain strong relationships with local vendors so that, when events like this occur, we are able to partner with vendors who can execute quickly and collaboratively under pressure. Together with the family, we streamlined the decision-making process so we could begin pulling details together as soon as possible.
Fortunately, our production company also handled florals. This became a major advantage given the timing constraints and the complexity of sourcing tropical blooms during the winter season. Having production and floral design under one roof allowed decisions to happen faster and reduced the number of moving parts at a time when flexibility mattered most. Being February, many of the blooms and materials the family initially envisioned were unavailable, but we were still able to achieve the tropical atmosphere through intentional design choices, tasteful decor, and warm lighting.
The venue itself also introduced logistical complexity. As a public-use facility, setup had to occur while portions of the venue remained open to the public. Certain production elements could not be fully installed until the building officially closed, which compressed the installation timeline even further. However, because we maintained open lines of communication with our vendor team, we were able to organize everything efficiently. That level of coordination allowed the family to arrive to a fully prepared celebration rather than spending the day answering vendor questions or tracking setup progress.




Shaping the Guest Experience Through Design
Despite the logistical challenges that accompany a short planning timeline, the event came together flawlessly. Thoughtful production, lighting, and layered tropical details completely changed how guests experienced the space, making it difficult to believe they were celebrating inside a community center on a cold February day. We focused on elements that would most directly shape the guest experience, like lighting, food, and intentional decor, rather than overcomplicating the design. This allowed the event to feel intentional and polished without sacrificing energy and atmosphere.
We designed the event to flow naturally for the guests, guiding them between dining, dancing, and interactive moments with ease. Lighting, florals, and production elements helped define spaces within the venue and softened the more functional aspects of the building itself. We incorporated large straw patio umbrellas, Cabana-style lounge areas, and custom palm tree installations around the venue. Ice cream was served in coconut shells and mocktails little umbrellas. The entire event space was color washed in pinks and blues.
The entertainment team we partner with is exceptional at reading a room and directing the energy. The teens spent most of the celebration on the dance floor, when they weren’t playing basketball on the arcade game setup, enjoying the photobooth, or hanging out in the Cabana. Likewise, the adults enjoyed drinks from the bar and the tropical-inspired menu.

One of the most memorable aspects of planning Maya’s tropical themed Bat Mitzvah was seeing how quickly the vendor team mobilized. The level of collaboration between partners is what made it possible to execute a celebration that still felt layered, thoughtful, and highly personalized. Additionally, the family’s willingness to make decisions quickly and trust in the planning and production team played a significant role in the success of the event. With limited time available, it was important to maintain clear direction and decisiveness.
Ultimately, the event came together beautifully and stands as a testament to what can happen when a strong vendor team collaborates under pressure. At the same time, it reinforces the value of bringing a planning team on early, especially for such a custom event. Additional time gives everyone more time for sourcing, building custom fabrications, and developing the direction of the event, which leads to even more layered and tailored experiences.
